Which channel should this message go on?

Most teams pick a channel out of habit and then blame the copy when it underperforms. The channel is usually the bigger lever.

WhatsApp

Where people actually reply. Best for anything conversational: an answer to a question, a reminder they will act on, a document they asked for. Template messages are billed per message by category, and a marketing template costs roughly three times a utility one, so the category you choose matters more than the length of the message.

RCS

Your verified brand name and logo in the default messaging app, with tappable buttons and images. It reads as more official than SMS and costs less than most people expect. Coverage in India is on Jio and Airtel today, with SMS fallback for handsets that cannot receive it.

Email

The right home for anything with length or an attachment: quotes, brochures, receipts, anything they may want to find again in six months. Cheapest per send by a wide margin, so it is where volume belongs.

SMS

Universal reach and no dependency on data. Worth its higher cost for genuinely time-critical messages, and for the handsets nothing else reaches.

The useful rule: write the message once, then decide the channel by what the person needs to do with it. One template can go out as WhatsApp or as email without rewriting it.

Why your last broadcast reached fewer people than you thought

Almost always the list, almost never the message. Four things quietly remove people between upload and send:

  • Missing or wrong country codes. Many tools silently drop these rows rather than repairing them. A file of 1,900 can become 100 sends with no explanation.
  • The same person in three sheets. Counted once, messaged three times, or merged badly and messaged as the wrong name.
  • People your own rules already excluded - already registered, already bought, already opted out.
  • Invalid addresses and hard bounces carried over from an export nobody cleaned.

The fix is not to clean the sheet by hand at 11pm. It is to see the report before you press send: rows in the file, duplicates merged, numbers repaired, people excluded and why, and the final number you are actually sending to.

If you cannot answer "why 1,847 and not 1,902?" before a send, you will not be able to answer it afterwards either.
