Use case · Lead follow-up

The follow-up that happens whether or not you remember.

Most lost deals are not lost to a better product. They are lost to a third message nobody ever sent.

Nothing sends until a person approves it

AI Coworker approval queue with follow-up drafts waiting for approval
What this actually is

A sequence that watches for enquiries going quiet, writes the next message from that customer's own history, and holds it in a queue until somebody approves it.

Where the deal actually goes

Monday, they ask what it costs. You answer the same day, which is the part everybody gets right.

Then they say they will think about it, and the conversation stops. Tuesday is busy, Wednesday is busier, and by the following week the thread has scrolled up past four newer ones. Nobody decided to stop chasing. It just stopped happening.

Three weeks later they buy from whoever sent the third message.

The first reply is fast and the second one never arrives.
Chasing feels awkward, so it quietly gets skipped.
Nobody can see which enquiries have gone quiet this week.

The sequence, and the actual words

Four touches over two weeks. Copy them and run them by hand if you like, they work either way.

Same day

Answer the question they asked

The bit most people get right. Answer properly, and add one thing they did not ask for.

Hi {name}, the 3BHK in Whitefield is 1,450 sq ft, east facing, and possession is March. Sending the floor plan now. Saturday viewings are open if you want one.
Day 3

Nudge, without asking if they got it

Never send just following up. Add something. A slot, a detail, a reason to reply.

Hi {name}, holding two slots for Saturday, 11 and 4. Want either of them?
Day 7

Change the question

If they have not answered twice, the question is wrong. Ask something easier to say yes or no to.

Hi {name}, is this still on your list for this year, or should I stop nudging you? Either answer is fine.
Day 14

Close the loop cleanly

Give them a way out. It gets you an answer, and it keeps the door open for later.

No worries at all, {name}. I will stop here. If it comes back around, message me any time and I will pick it straight up.
The chase sequence, switched on. It runs whether the week is quiet or the week is chaos.

Who runs this

Every industry we work with runs some version of this. It is the most universal sequence there is.

Where this stops working

Worth knowing before you switch it on

A follow-up sequence cannot fix a weak offer. If the price is wrong or the product is not right, four well-timed messages just get you a faster no. This works when the deal was real and the attention ran out, which is most of the time, but not all of it.

Questions people ask

Will the AI send these on its own?

No. It drafts and stops. Every message waits in a queue until a person approves it.

How does it know somebody has gone quiet?

No inbound reply within the window you set. Twenty-four hours, three days, a week, whatever fits how you sell.

Can I change the messages?

All of them. These are a starting shape, and the ones above are yours to copy whether or not you buy anything.

What if somebody replies mid-sequence?

It stops immediately and hands the conversation to a person. Nobody gets a day-seven nudge after they have already answered.
